Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the Events Team.
- Event Information Management: Ensure all menus, rooming lists, and event information are entered into the system at least 14 days prior to an event.
- Billing Accuracy: Check billing post-event, ensuring accounts have accurate information for client invoicing.
- Meetings Attendance: Represent the Events Team at daily and weekly operational meetings.
- Reporting: Prepare and manage daily and weekly reports for the Events Team, including Daily Activity Reports, Weekly Deposit Reports, Daily Change updates, and Weekly Function Sheets.
- Profile Management: Create and update profiles for all new and existing contacts/companies in Opera.
- Site Inspections: Conduct resort site inspections to ensure readiness and standards.
- Internal Meetings & Events: Manage internal meetings and events, particularly liaising with HR for upcoming training sessions.
- Communication: Ensure timely communication of weekly site inspections to resort operations.
- Enquiries & Reservations: Ensure daily accuracy of Enquiries, Business Won, and Business Lost reports.
- Team Support: Provide cover where required for all areas of the sales team.
- Strategy Reporting: Report to senior managers on the effectiveness of strategies and campaigns.
Qualifications:
- Previous experience in a similar role within the hospitality industry.
- Strong organizational and time-management skills.
- Proficiency in using Opera and Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
